Government Contract Specialist

Full-Time · 40 hrs/wk · Albuquerque, NM / Remote · $18 to $22/hr + Quarterly Bonus · Unlimited PTO, Viceroy NM is hiring a Government Contract Specialist to run federal procurement pipelines from opportunity scan through post-award fulfillment inside our proprietary VPW, the Procurement Workflow Platform, shipping compliant bids across 19+ federal agencies, from the U.S. Army and Navy to the Bureau of Prisons and national laboratories.

The Role

Pace-driven, detail-obsessed, pipeline-heavy

This is a high-tempo role inside a small, fast-moving procurement team. You'll execute the full bid lifecycle in VPW: daily opportunity scans, Green/Red triage, tight bid-prep targets, and mandatory vendor phone calls on every bid. The work is repetitive by design and precision-dependent. The people who thrive here are organized, phone-comfortable, and enjoy closing loops quickly.

What You'll Do

The full bid lifecycle, every day

Daily Pipeline Management in VPW

Complete a daily opportunity scan each morning. Maintain a minimum of 20 active opportunities in VPW. Create new bid records immediately, assigning priority (High / Medium / Low) by dollar value, capability alignment, and competition likelihood.

Green / Red Opportunity Triage

Same-day evaluation of every new opportunity against capability alignment, past performance match, resource availability, and margin feasibility. Log the Green/Red decision in VPW with documented reasoning.

Vendor Sourcing & Mandatory Phone Contact

Source approved manufacturers and distributors. Apply the 30-minute vendor search rule: skip bids where no vendor is identifiable and document the reason. Place at least one verification call per bid to confirm pricing, specs, stock, and lead time. Log every call in VPW.

Bid Preparation & Submission

Prepare complete bid packages within 2 business days, including technical narrative, pricing schedule, SF-1449, reps & certs, past performance, and solicitation-specific attachments. Submit through VPW routing to SAM.gov, Unison, or agency portals after Director approval.

FAR/DFARS Compliance & Documentation

Ensure every submission aligns with Federal Acquisition Regulation requirements, agency-specific rules, and set-aside eligibility. Maintain clean, auditable records of solicitations, communications, submissions, and awards in VPW.

National Lab & Agency Engagement

Support procurement relationships with Sandia National Laboratories, Los Alamos, and federal agencies including Army, Navy, Coast Guard, CBP/DHS, and the Federal Bureau of Prisons. Navigate lab-specific vendor registration and procurement portals.

Post-Award Fulfillment

On awarded contracts: confirm vendor orders, issue purchase orders, track delivery, submit invoices through WAWF / IPP, and manage contract closeout documentation. Flag modifications and period-of-performance changes promptly.

What We're Looking For

Required & preferred

Required

  • U.S. Citizenship
  • Exceptional attention to detail, missed clauses and misplaced decimals cost real money
  • Strong written and verbal communication; comfortable cold-calling vendors
  • Proven organizational skills managing many deadlines simultaneously
  • Proficiency with Microsoft Word, Excel, and PDF tools
  • Ability to interpret dense government solicitation documents
  • Comfort working in a structured, SOP-driven environment with daily KPIs

Preferred

  • Prior experience in government contracting, procurement, or compliance
  • Working familiarity with FAR / DFARS clauses and NAICS / PSC codes
  • Hands-on experience with SAM.gov, Unison, FedConnect, NASA SEWP, or DLA DIBBS
  • Experience with WAWF / IPP invoice submission
  • Background supporting Bureau of Prisons, DoD, or national laboratory procurements

    Opportunity Scan & Triage

    Log into VPW. Review new postings from the last 24 hours across SAM.gov, Unison, and lab portals. Create bid records, set priority, and complete Green/Red triage on pending items.

  2. 02

    Vendor Sourcing & Calls

    Identify manufacturers and distributors for active bids. Apply the 30-minute rule. Place verification phone calls covering price, specs, stock, and lead time. Log every call in VPW notes.

  3. 03

    Bid Package Assembly

    Draft technical narratives, build pricing schedules, assemble reps & certs and SF-1449s. Route completed drafts to the Director of Procurement for review.

  4. 04

    Submissions & Closeout

    Submit approved bids and log confirmations. Track award notices on prior submissions. Update post-award fulfillment including POs, WAWF/IPP invoicing, and delivery coordination. Close out stale opportunities.
